This service fills one column — the STATSSA area code — from the address on each row. It is built to hold as little learner information as possible, for as short a time as possible.
Only the address is used. Of your workbook's 43 columns, the lookup reads the three home-address lines and the postal code. Nothing else is used to produce a code. Learner names appear only in the on-screen list of rows that could not be placed, so that you can find them in your own file.
Your workbook is never written to disk. It is held in the server's memory while the codes are looked up, and deleted the moment you download the filled file. If you never download it, it is deleted automatically within ten minutes. A server restart deletes it immediately.
What is kept. Two things: address text with the coordinates it resolved to, so that the same address is never looked up twice; and one log line per upload — your college, the date and time, the file name, and how many rows were filled. Neither holds a learner's name, ID number, or any other column of your file.
Addresses are sent to a geocoding service. To turn an address into coordinates, the address text alone is sent to Google's Geocoding API, which processes it outside South Africa. No name, ID number or other learner detail is sent with it, and nothing on our side links a stored address back to a person.
Your key sees only your own uploads. Uploads are scoped to the college key that created them; no other college can reach yours.
Responsibility. Your college remains the responsible party for this learner data under POPIA. Boland College acts as an operator, processing it only to fill the area-code column at your instruction.
